How Stage Company™ handles your information. Last updated 24 September 2026.
Stage Company™ is a private workspace for one theatre production at a time. Everything you put in it is visible only to members of your own production — never to the public, never to other productions, and it is never sold, rented or used for advertising.
We handle personal information in line with the Australian Privacy Principles in the Privacy Act 1988 (Cth). This page is the privacy policy those principles ask us to keep.
The most sensitive things we hold — medical notes, emergency contacts and Working with Children Check numbers — are encrypted inside our database, on top of the encryption our hosts already apply. And you can delete your own account, yourself, whenever you like.
Stage Company™ is operated by Theatre and Company, ABN 24 224 491 951 (“we”). Your production's producers and directors decide who is invited and what is posted; we provide and maintain the software that holds it.
Two similar words, kept apart throughout this page: Stage Company™ is this application, and your production company is the theatre company, school or society running the production you are part of. They are not the same, and they hold your information for different reasons.
Your account. Your name, email address and, if you choose to add them, pronouns, a short bio, a phone number and a profile photo.
Date of birth. Collected when you join, and used for one purpose: so the production team knows which members are under 18 and can meet their duty of care. Inside the app, other members see only an “under 18” label, never your birth date. The production’s owners can include it in the registers they export, and every such export is logged by name and reported to the owners.
Emergency contact. A name and phone number, required to join, so someone can be reached if you are hurt or unwell.
Medical needs and allergies. Optional. You write this yourself and you choose who sees it — the production team only (the default), or everyone in your company. Leave it blank if you would rather not share it.
What you post. Documents, photos, video and audio you upload, rehearsal notes, messages, costume details, and records of which items you have opened or acknowledged.
Technical basics. Sign-in sessions, and — only if you switch notifications on — the address your device needs to receive them. There is no advertising or third-party tracking in Stage Company™.
Page counts, not people. So we can tell whether telling people about Stage Company™ worked, the public pages (the landing page, the sign-in page and invite pages) keep a simple daily count of views and sign-ins, along with the campaign tag a link carried — for example “from the launch post”. That is the whole record: totals for a day. No cookies are set for this, no addresses or device details are kept, nothing follows you between pages, and no third-party analytics service is involved — the numbers live in our own database and identify nobody.
How it is collected. Directly from you (or your parent or guardian) through the app — when you join, fill in your profile, or post something. We never buy, scrape or receive your information from anyone else.
Sensitive information. Medical needs and allergies are “sensitive information” under the Privacy Act. We only hold them because you typed them in yourself — that is your consent — and you can clear them at any time on My profile.
A parent or guardian may hold the account on their child's behalf. The child's name is what the company sees, while the email address, sign-in and notifications stay with the adult. A guardian can view and change everything on that account at any time, and can ask the production team to remove it.
Only active members of your production. Within that, you control the sensitive parts: your email, phone, emergency contact and medical notes each have their own setting on My profile — the production team only, or the whole company. The production team means every production-team role: director, stage management, music, choreography, wardrobe, wigs & make-up, props, lighting, set and the committee.
Your emergency contact is seen by the production team, or by the whole company if you choose. Costume documents you upload stay private to you unless you share them with the costume team; your costume run is a working sheet the costume team and the production team can see. Leaving or being removed from a production ends your access to it immediately.
During the beta, Stage Company™'s developer can open a production to fix problems. When they do, they appear in that production's People list as App Developer, and their first visit is recorded in its audit trail.
Your information lives in Australia: the servers that run the app and its database are in Sydney (Vercel and Neon), and uploaded files sit in Cloudflare's Oceania region. Two things travel overseas — emails are delivered through Resend (a US provider), and push notifications go through Apple and Google's notification services. Each of these providers processes data on our behalf under their own security obligations; none of them may use it for their own purposes, and nobody else receives your information apart from the payment services below.
Payments. When a production company pays for a plan, the card is taken by Stripe, our payment processor, which may process it in the United States. Stripe holds the card; we never see or store card numbers. We keep only what a tax invoice needs — the billing name, email and address, and the invoices themselves, which the law requires us to keep for five years. When a school switches on education pricing, we check its ABN with the Australian Business Register (ABN Lookup); only the ABN is sent. Payment details are never visible to the members of a production.
Two more services help us run Stage Company™. Error reports go to Sentry (hosted in the European Union) so we can fix crashes — they are scrubbed of personal details before they leave the app. And when a production team hands a script, score or notes document to one of Stage Company™'s readers, that document is processed by our AI provider, Anthropic, solely to read it: the content is never used to train AI models, is retained only briefly for the provider's safety monitoring and then deleted, and everything the reader produces stays inside Stage Company™.
Productions photograph and film their own rehearsals and shows. Those images may appear inside the app and be used for the production's purposes — rehearsal records, the production's own archive and promoting the show. Joining a production is your agreement to this; for a member under 18, the parent or guardian who operates the account agrees on their behalf when they join, and that agreement is recorded against the membership.
The agreement covers your production company's own records as well as what sits inside the app — a company keeps its archive after a season ends. It is limited to that production's purposes: it does not permit selling images or licensing them to anyone else.
You can change your mind. If a particular image is a problem, tell your production team and they can take it down — a parent can do this for their child. Anything already printed in a programme or published elsewhere is outside what the app can reach, so tell them early if it matters.
When you upload or write something in Stage Company™ — documents, photos, video, audio, rehearsal notes, designs, costume details — you give your production company permission to use it for the purposes of that production: rehearsing, planning, record-keeping, and promoting the show. You keep whatever rights you already had in your own creative work; this is permission to use it, not a transfer of ownership.
Licensed material is your production company's responsibility. Scripts, scores, backing tracks and recordings uploaded to a production are assumed to be properly licensed from their rights holders by the production company. Stage Company™ stores and processes what's uploaded solely to run that production — it doesn't grant, replace or police performance rights, and honouring rights agreements sits with the production company that holds them.
Your personal details are different. Your name, contact details, date of birth, emergency contact and medical needs remain yours. You can see them, correct them, or ask for them to be removed at any time, whatever else this policy says.
Your information is kept while your production is running, and for as long as the production team keeps that production in Stage Company™. If you leave or are removed, your account stops being visible to the company but your past contributions (notes, uploads, receipts) remain part of the production's record.
After the season. Once a production has finished, its information is either deleted from Stage Company™, or exported to your production company's own records and then removed from Stage Company™. Your producers and directors decide which, and once information is in their own files it is held under that organisation's privacy practices rather than ours. When a production is deleted in Stage Company™, everything in it is deleted with it.
What survives your account being deleted. The production keeps its own working records — call sheets, attendance registers, show and rehearsal reports, incident reports, the audit log — because they are the company's records of how the show was run, and some of them must be kept. Where those records carried your name, the name is replaced with “a former member”. Notes and messages naming you are removed.
Private conversations are never exported. Direct messages and group chats are not included in any export a production can take — not even by an owner closing the production down. They end with the production, or with your account.
You can view and change your own details at any time on My profile, including clearing your medical notes or tightening who sees what. To leave a production, ask a producer or director. To ask what is held about you, or to have it corrected, contact us using the details below.
Deleting your account. You can do this yourself, at any time, from Account settings — reached from your productions page or from My profile. It erases your name, contact details, date of birth, medical notes, emergency contact, Working with Children Check details, measurements, programme bio and photo, and the same for any child whose membership you manage. It closes your memberships, releases any future calls you were given, deletes your private uploads, and signs you out everywhere. It cannot be undone, so take anything you want to keep first.
If you are the only person who can look after a production — you hold it, or you are its last owner — you will be asked to hand it to somebody else, or to close it down, before your account can be deleted. That is to stop a production being left with nobody able to reach it.
Sign-in is by one-time email link or your production's shared show password — there are no personal passwords to leak. The most sensitive fields — medical notes, emergency contacts and Working with Children Check numbers — are additionally encrypted inside the database itself (AES-256), so even a leaked backup would expose nothing readable. Files are served only to signed-in members of the production they belong to. No system is perfect, so please tell us promptly if you think an account has been misused.
If a data breach happens that is likely to cause you serious harm, we will tell the people affected and notify the Office of the Australian Information Commissioner, as the Notifiable Data Breaches scheme requires.
If you think we have mishandled your information, tell us — write to the address below and say what happened. We will look into it and reply within 30 days. If you are not satisfied with our answer, you can complain to the Office of the Australian Information Commissioner at oaic.gov.au or on 1300 363 992.
If this policy changes materially, the production team will be told through the app so they can pass it on. The date at the top always shows the current version.
